Privacy Policy

1. Who we are

QX Media Tech LTD is a company registered in Alberta, Canada. Our English site helps overseas businesses, starting with Canada and North America, explore and grow in the China market. Our Chinese site helps Chinese companies go overseas.

This policy covers qxmedia.tech, including its Chinese-language pages. We aim to handle personal information in line with applicable Canadian privacy law, including PIPEDA and Alberta's PIPA.

2. What we collect through forms

Our inquiry and consultation forms send your answers to our own website server. Depending on the form, we keep:

• Your name and email address.
• Your company or store name, if you give it.
• Your phone number, if you give it.
• The service you are interested in, your product type or product link, and your message.
• The consultation times you prefer, any note you add, and your browser's time zone (so we can show times in your local time), if you choose times after sending the form.
• Other details you choose to add, such as your industry, target market, website, Google Maps or social media links, budget range, preferred contact method, and whether you are open to a digital human livestream.

With each form we also keep:

• The page you sent it from (the page path only).
• Campaign (UTM) tags from the link you arrived on, if there were any.
• The site that sent you to us (domain and path only, without the query string).
• Your browser's user-agent text (the first 200 characters).
• A country code, if our hosting platform provides one.
• The date and time you sent the form.

We do not store your IP address, or a hash of it, with your form. To limit spam, we use a short-lived hashed IP in rate-limit counters. These counters expire within about 2 hours.

If you email us, we receive what you send. This website does not take payments: it has no checkout page, and none of our forms ask for card details. If you buy a service from us, we send you an invoice or a card payment link separately. Card details are entered on the payment provider's own page (Stripe, a provider that operates outside Canada), never on qxmedia.tech, and we do not receive or store your full card number. We keep the payment status and payment reference we need to match a payment to your service.

Please do not send passwords, card numbers, bank details or platform login details through our forms.

3. What we collect automatically

• Page counters. Some pages record simple events, such as a page view, starting a form, sending a form, or clicking a booking button. We keep only daily totals by event type, page, form and campaign source. These totals contain no personal information.
• Campaign tags in your browser. If you arrive through a link with UTM tags, your browser keeps them in sessionStorage, so they can be added to a form you send. They are removed when you close the tab.
• No ad pixels or analytics cookies. We do not use advertising pixels, Google Analytics or third-party tracking cookies.
• One staff cookie only. The only cookie our site sets is an HttpOnly admin-session cookie for QX staff on a password-protected page. It is never set for visitors.

4. Why we use it

• To reply to your inquiry.
• To arrange your consultation.
• To provide the services you ask for.
• To understand which pages and campaigns bring inquiries.
• To keep our forms free of spam and abuse.

5. Where it is stored and for how long

• Form submissions are stored in Tencent EdgeOne Pages storage for our website.
• Each submission is kept for 400 days from the day you send it. After 400 days it is no longer shown or exported in the tool our staff use to read inquiries, and a clean-up run, which we carry out monthly, erases it from our storage.
• Daily page counters are also kept for up to 400 days.
• Rate-limit counters expire within about 2 hours.
• Campaign tags in your browser are removed when you close the tab.

If we copy your details into our internal customer records, we keep them only as long as reasonably needed for your inquiry, our work with you, accounting and dispute handling.

6. Who can access it

• QX staff view submissions in a password-protected admin view.
• QX staff may copy a submission into QX's own internal customer records, to follow up and manage the work.
• We limit access to QX staff who need the information to do their work.

7. Sharing

• We do not sell personal information.
• We use service providers only as needed to run this website, such as our hosting and storage provider, Tencent EdgeOne Pages. If you pay online, Stripe processes the payment.
• When you submit a form, we use Resend, an email delivery provider that operates outside Canada, to send QX staff a notification. The notification may contain the contact details and message you submitted. Resend processes that information only to deliver the email. See Resend's privacy policy.
• We may disclose information when the law requires it.

8. Your choices and rights

• You do not have to use our forms. You can email us instead.
• You can ask to see the personal information we hold about you.
• You can ask us to correct it or delete it.
• To make a request, email info@qxmedia.tech. We may need to confirm who you are before we act.
• Some records may need to be kept for accounting, legal or dispute reasons.
• If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.

9. Children

Our services are for businesses. This site is not directed at children, and we do not knowingly collect information from children. If you think a child has sent us information, email info@qxmedia.tech and we will delete it.

10. Changes to this policy

We may update this policy when our website or services change, for example if we add a notification or scheduling provider. When we do, we will change the "Last updated" date at the top of this page.
